General informations about Erasmus+ study mobility in 2020/21

Opportunities to study abroad are available for students at Bachelor, Master levels and Doctoral candidates.The Erasmus+ study mobility is carry out as a part of the studies abroad and can not involve only research work, library queries or searching materials for the thesis or writing thesis. These actions may only accompany a specific study programme. It is not possible to carry out mobilities in the Erasmus+ studies and Erasmus+ traineeships  simultaneously.

Erasmus+ mobility cannot take place during dean's leave.

Mobility period

1. The duration of the mobility is counted to the day, which means that for each day of an incomplete month of mobility, student is entitled to 1/30 of the monthly rate for a specific country. The Erasmus+ grant amounts are mathematically rounded up to whole numbers.

2. The duration of the student's mobility at the host university depends on the provisions in the interinstitutional agreement and informations provided to the nominated person by the host university and may cover the period of:

• one trimester;

• one semester;

• the entire academic year.

3. The maximum Erasmus+ funding period is 5 months = 150 days (semester)/ 10 months = 300 days (whole academic year).

4. Planning participation in the ERASMUS+ program, the candidate need to be aware of the available mobility capital, which is the sum of all study mobilities and traineeships of the LLP-ERASMUS and ERASMUS+ programs at every stage of studies. In bachelor's, master’s or doctoral studies the capital of mobility  is 12 months, in case of long cycle- studies is: 24 months.

Types of Erasmus+ grants

1)Erasmus+ study mobility to partner countries in 2020/2021

1. The Erasmus+ grant amounts are set annually by the National Agency based on the European Comission guidelines in cooperation with National Authority for Higher Education. The university can not change the allocation to a specific group and can not create subgroups within an each group. It is not possible either to raise the Erasmus+ grant amount previously announced by the NA even if the university has free financial funds from the program budget.

The table below presents the ERASMUS+ grant amounts for the academic year 2020/2021.

2. The Erasmus+ grant amount with social allowance is calculated in proportion to the length of stay in partner country and is payout in PLN from funds of PO WER- Operational Program Knowledge Education Development. Erasmus+ mobility with social allowance is based on the same preparation, realization and settlement procedures as student without the allowance.

3. People with degree of disability may apply for additional ERASMUS+ grant- equal to the expected real costs related to disability. The entire mobility (ERASMUS + basic rate and disability allowance) will be paid in PLN from PO WER funds.

4. In some cases there is allowed to realize the Erasmus+/student mobility without co-financing.

Students who are receiving the scholarship will continue to receive it during their Erasmus+ student mobility abroad.

The amount of the lump sum per journey depends on the distance between the University of Gdańsk and the partner University according to distance calculator:

Realization of Erasmus+ mobility for study (project KA107)  is only possible in the winter semester 2020/2021. In the case of mobility to partner countries, the budget of the ERASMUS+ programme does not provide  additional grants for disabilities or for people in a difficult financial situation.

Rules of Erasmus+ payment

1. Students participating in Erasmus+ mobilities are informed to have an euro currency bank account to avoid conversion into PLN. The students receiving the grant from the PO WER program are advised to be the holder of the account in PLN, because the grant is paid and counted in zlotys. It is not possible to collect a grant at the university cash or at a bank branch running a UG account.

2. To payout the grant, acceptable are only commercial bank accounts covered by the Bank Guarantee Fund (BFG)- www. bfg.pl/gwarantowanie-depozytow/podmioty-objete-gwarancjami/. If student would like to use different bank account outside the list of commercial banks it is required to contact with Erasmus+ Program Service Section four weeks before planned mobility.

3. The Erasmus+ grant payment (bank transfer for participant account) is made in two tranches:

• first: within 30 days of signing the "Grant Agreement for the Erasmus+ studies", however not later than on the first day of the mobility; which is 70% of the total grant, calculated for the period of stay at the host university, specified in the contract. Student is obliged to sign the Grant Agreement for the Erasmus+/studies no later than 14 days before mobility starting date.

• second: paid after the finished mobility and completing all settlement procedures. The actual  time of stay is calculated based on the document Confirmation of Study Period received from partner University.            

Payment of Erasmus+ grant depends on the receipt funds from the National Agency of the Erasmus+ Programme.

4. The grant amount  is calculated in accordance with the study period at the host institution from the "Letter of Acceptance’’ as a "maximum financing". Longer stay does not increase the amount of funding, while shorter stay more than 5 days reduces the amount of the grant in proportion to the number of days.

Extension of the length of stay

1. Extension of mobility for the next semester (or trimester, if this length of semester is used by the partner university) is possible only during the same academic year (for the summer semester / trimester spring / summer). There is no possibility to extend the duration of stay for a period other than one full semester / trimester. The opportunity for obtaining a grant for extended mobility period is dependent how many funds are used already for students mobilities.

Extension the Erasmus+/ studies mobility is possible when student is:

            • on the second year of 3-year undergraduate studies;

• on the second and third year of 4-year bachelor's studies in the Scandinavian Studies, specialization: Language, Culture and Economy of Finland;

• on the second, third and fourth year of long-cycle Master's studies;

• Students mobility in the last year of the second or third degree of studies or in the last year of long-cycle master studies may in exceptional cases apply for an extension of mobility during the summer semester, if this rules are provided by the faculties/mother’s institute.

Students realizing the Erasmus+ mobility are not allowed to extend their stay on the last year of bachelor studies.

2. Students with the rights to extension the mobility for the next semester are informed via email about the extending procedures in December. Student is obliged to send back required documents for approval of their extension till the end of January 2022

Reduction of the length of stay

1. Reduction the length of stay may only take place as the result of force majeure. In consequence the student is obligated to return a part of the grant amount.

2. The minimum length of ERASMUS+ study mobility is 3 months (90 days). Shorter stay requires the return of the whole grant. Exceptional from this rule is the mobility to some partner universities in the Great Britain, in which the trimester is a few days shorter than 3 months.

Recruitment

1. Time: from the middle of February to around 15th March 2020, the final day is the last one for submitting to Erasmus+ Exchange Office recruitment protocols received from the particular Faculties.  In practice, the verification of candidates process is finished a  bit earlier than 15th March 2020.

2. Place: students are qualified for mobilities by Faculty/Institute commissions according to rules previously announced and available for candidates in every year of study.

3. Detailed criteria and method of selection of candidates are defined by Faculty / Institute commissions.

4. Students are eligible to participate in recruitment if they meet the following conditions simultaneously:

• they are registered in the UG at the first, second and third level of full-time and part-time studies;

• at the moment of realizing mobility, they will be students of at least the second year of first-cycle studies;

• they achieve good results in learning;

• they know the lecture language of the host university at the level enabling active participation in classes and obtaining credits.

            5. In recruitment students can not take part:

            • on second and fifth year of postgraduate studies and fifth year of long- cycle studies;

            • students who used the current mobility capital, it means a maximum of 12 months of mobility at each level of study (counting the period of

            studies and traineeships mobilities under the LLP-ERASMUS and ERASMUS+ programs) or 24 months for long-cycle studies;

            • students who plan to be on dean's leave during mobility;

            • students who receive co-financing from another program from European Union funds for realization of their studies (in particular PhD students

            who are employees of UG, whose jobs are financed from European projects).

            6. Students of the last year of undergraduate studies may take part in recruitment, but the realization of mobility during the first year of master

            studies is possible only in the summer semester. This rule applies to students of all faculties of UG.

            7. Students whose mobility would take place in the last year of undergraduate studies may complete the mobility only in the winter semester, 

            therefore they can not apply for a summer semester or a year-long mobility. This rule applies to students of all faculties of UG.

            8. Students whose mobility would take place in the last year of second or third cycle studies or in the last year of long-cycle  studies may

           realize a mobility only in the winter semester. Extending the mobility by the summer semester for this group of students is permissible

           only if such a possibility is provided by rules of faculty/institute, and each case is considered individually.

            9. Selection of the host university:

  •   The Erasmus+ study mobility can only be realized in university with signed inter-institutional agreement for the field of study of candidate,

             valid in the year of mobility. The list of host universities is available on the University of Gdansk website.

  •   candidates before the recruitment are advised to check informations about  potential  universities, their didactic offer and language

            requirements prior to recruitment.

 

After closing the recruitment, the decisions taken by the commissions of specific Faculties/Institutes can not be changed, unless there is a  force majeure, causing inability to realizing specific mobility and verification of provisions.
